The Archives Processing Assistant provides reference support to remote and on-site researchers, including paging and reshelving books and archival collections, as well registering researchers and monitoring the Reading Room. The Archives Assistant will assist researchers with reproduction services, either providing forms for self-service reproduction or filling researcher requests for photocopied or scanned documents and images.

Responsibilities & Duties

Evaluate, sort, arrange and describe materials in designated collections according to archival principles.

This includes accessioning materials, assessing the relationship among materials within a collection and/or to other previously processed collections; arranging materials in intellectual order as determined by established archival principles; applying preservation techniques as appropriate; arranging materials physically within collections; maintaining a written record describing the collection and the activities performed upon it; and representing that information in databases and other documents. This may also include working with the Head of Special Collections and Archives to define projects for student assistants.

Assist walk-in and internet researchers with registration and reproduction paperwork, and with identifying materials of interest.

Retrieve requested materials and monitor Reading Room activity, demonstrating the careful use of fragile materials and enforcing rules that support the security and preservation of materials. Make reproductions as needed.

Manage the physical collections as needed, including shelving, shifting and moving as required.

Prepare materials (books, maps, archives) for instructional classes.

Assist in the preparation, including room arrangement, gathering materials, material placement and support, and take-down after the class session.

Perform other duties as assigned.

Education & Experience
Bachelor’s degree.

Preferred Requirements
Experience with processing college or university archives collections.

Other Skills & Abilities Reqd
Excellent written, oral, and interpersonal communication skills.
Ability to work independently, following established procedures.
Ability to think critically and shift perspective in order to create effective arrangements and descriptions of archival collections.
Ability to learn to interpret bibliographic information accurately.
Ability to work with diverse constituencies.
Ability to work in a collegial environment in order to provide excellent library services; and knowledge of MS Office, and other routine information technology applications employed at the library or university level.

Physical Requirements
Must be able to spend extended periods standing, sitting, kneeling, crouching, and bending.
Requires ability to navigate closed stacks area, and reading, visual acuity, hand-eye coordination and motor skills sufficient to use a computer, copy machine and other office equipment.
Routinely lifting up to 25 pounds may also be required.
